It’s important to organize your office for many reasons. Nobody wants to turn up at the office each day to be greeted with stacks of documents that need to be filed, endless folders lying on the work surfaces only needing to be tidied up and placed where they belong, or computer disks and envelopes piled high waiting to be categorized and stored.
You know what it’s like to see all the old coffee cups that have managed to collect around the work area, and rubbish bins piled so high that even the thought of pushing another piece of paper into them will make them burst open all over the floor.

The most important area of your office that is used constantly is your desktop. This area should always be clear as it is the one area that provides a surface for your essential items, like computer, printer, files and documents. It also provides leverage for your elbow when you are deep in thought or conversation about your job. Your telephone is located here, co-workers sometimes use it for a seat when they stop by to discuss office business, and it is the area that speaks volumes about how organized you are as an individual.
Start by cleaning this space first. Remove everything that is easily removed and replaced, and categorize the items into groups. Place these on the floor close to the desk so that they are right there when you want to put it all back. Place files together, documents together, computer disks together, and pens and pencils too.
When you organize your office, take any items that are no longer needed or used and dispose of them in the proper manner. If they are sensitive documents and need shredding, shred them. If they are old folders, throw them away as you would do with old newspapers. Throw away or relocate any item that you had on your desktop, so that you now have nothing at all, that is not relevant to your daily duties, and is current.
If you believe that you might require extra space for the things you have to organize, see if this can be arranged by acquiring hanging filing systems, desktop shelving units, or anything else that is going to suitably contain your items and enable easy access to them when they are needed. Drawer organizers are a great way to keep things tidy in your desk.
Make labels up for the containers, shelves or bins that you have used to store items. The more visible from the outside, the contents are much easier to locate in record time. For your important dates and times, try using a wall hanging notice board or planner. This way all of your vital information is available by looking in the right direction, in an instant.
Probably one of the most important reasons to organize your office is that the area around you and that you are responsible for, is a direct reflection to others, of your personality. It is very difficult to convince people that you have it together and are focused if your personal workspace is like a disaster zone.
